This Privacy Policy applies to all dealings that Suzuki Australia Pty Limited and its Authorised Dealers ("Suzuki Australia", "we", "us", "our") may have with your personal information and explains how Suzuki Australia complies with the Privacy Act 1988(Cth) ("Privacy Act").

We recognise the importance of your privacy, and that you have a right to control how your personal information is collected and used. 

1.             What information does Suzuki Australia and its Authorised Dealers collect?

1.1           This Privacy Policy applies to all instances in which Suzuki Australia and its Authorised Dealers collects and manages personal information from users, including through:

(a)            the Suzuki website owned and operated by Suzuki Australia and any authorised websites, including:

("Suzuki Websites");

(b)            the SuzukiNet extranet owned and operated by Suzuki Australia;

(c)            the Suzuki On Line extranet owned and operated by Suzuki Australia;

(d)            employee applications;

(e)            franchising applications;

(f)             third party service providers;

(g)            retail delivery advices;

(h)            information on dispatch notices;

(i)             requests for brochures, to join a mailing list or to be contacted for further information about a Suzuki Australia product or services at a Suzuki Australia trade show or promotional day or from the Suzuki websites;

(j)             entries into competitions or trade promotions carried out by Suzuki Australia or an Authorised Dealer;

(k)            test drives of vehicles through Authorised Dealers;

(l)             responses to surveys or research conducted by Suzuki Australia or an Authorised Dealer; 

(m)          purchases of vehicles and/or parts from Authorised Dealers; and/or

(n)            provision of customer service and support.

1.2           Personal information is any information that discloses the identity of an individual, or the identity of the individual is reasonably ascertainable from the information.

1.3           Under the Privacy Act, certain types of personal information are regarded as sensitive and must be treated with a higher standard of care. This includes information relating to health, religious beliefs and criminal records. Suzuki Australia and its Authorised Dealers do not normally collect this kind of information.

1.4           The types of personal information Suzuki Australia and its Authorised Dealers will collect from you will depend on the circumstances in which that information is collected. It may include:

(a)            contact details (i.e. your name, address, email, phone and facsimile details, preferred purchasing/delivery dealer);

(b)            information on prior purchase experience with Suzuki Australia and its Authorised Dealers;

(c)            age, occupation and information on personal lifestyle preferences for marketing purposes;

(d)            driver's licence details (only collected for test drives purposes); 

(e)            financial information (collected for purposes of franchise and employee applications, and information may be collected on salary ranges from surveys and research); and

(f)             proof of ownership or registration details of any listed vehicles.

1.5           Most of Suzuki Australia's and its Authorised Dealers' relationships are with existing and potential vehicle purchasers. Our records about these contracts will generally include contract details, transactions with Suzuki Australia or its Authorised Dealers including warranty and registration information, and information about their interest in our products and services.

2.             How Suzuki Australia and its Authorised Dealers handle personal information that belongs to clients

2.1           Many parts of our business handle personal information for a variety of purposes, including:

(a)            processing employees applications;

(b)            processing franchise applications;

(c)            processing retail delivery advices;

(d)            providing information or brochures on Suzuki Australia and its Authorised Dealers' products and services as requested by current or potential clients;

(e)            in relation to competitions and trade promotions carried out by Suzuki Australia or its Authorised Dealers;

(f)             arranging for information on future Suzuki Australia and its Authorised Dealer's products and services to be mailed to clients;

(g)            in relation to test drives;

(h)            undertaking research or surveys;

(i)             to arrange for vehicle registration for Suzuki Australia's motorcycles or motor vehicles;

(j)             in relation to product recalls;

(k)            in order to place orders for Suzuki Australia parts and merchandise, motorcycles or motor vehicles; and/or

(l)             processing claims for Suzuki Australia parts and merchandise, motorcycles or motor vehicles throughout the warranty period and maintaining vehicle history throughout the warranty period.

2.2           Information collected by Suzuki Australia may also be posted on Suzuki On Line, where it is accessible by Authorised Dealers.

2.3           In handling personal information, Suzuki Australia and its Authorised Dealers only process it for:

(a)            the purpose of providing the services requested; or

(b)            for any other purpose set out in this Privacy Policy; or

(c)            for any other purpose which is communicated at or near the time the personal information is collected by Suzuki Australia and its Authorised Dealers.

3.             How Suzuki Australia handles employee applications

3.1           We request applicants send only copies of their resumes to Suzuki Australia for consideration, as resumes will not be returned.

3.2           All resumes of non-successful applicants will be destroyed.

4.             Using and disclosing your personal information

4.1           Suzuki Australia and its Authorised Dealers will only collect, use and disclose your personal information in accordance with the Privacy Act and this Privacy Policy.

4.2           Your personal information is protected so that only our personnel and contractors with a business requirement to have access to this personal information will be granted access.

4.3           Suzuki Australia and its Authorised Dealers will generally explain how it will use or disclose personal information at the time it collects the information. Suzuki Australia and its Authorised Dealers share personal information. Suzuki Australia may disclose personal information to its Authorised Dealers and Authorised Dealers may disclose personal information to Suzuki Australia. In addition, personal information may be disclosed when:

(a)            required by law;

(b)            we believe it necessary to provide you with a service that you have requested or for any other purpose set out in this Privacy Policy or for any other purpose which is communicated at or near the time the personal information is collected by Suzuki Australia and its Authorised Dealers;

(c)            it is necessary to implement our terms of service;

(d)            it is necessary to protect the rights, property or personal safety of another Suzuki Australia or Authorised Dealer client, any member of the public or Suzuki Australia;

(e)            the assets and operations of the business are transferred to another party as a going concern; or

(f)             to the extent not already covered above, you have provided your consent.

5.             Service providers

5.1           Like most large organisations, we use a range of service providers to help us maximise the quality and efficiency of our services and our business operations. This means that individuals and organisations outside of Suzuki Australia and its Authorised Dealers such as roadside assistance service providers and mailhouses will sometimes have access to personal information held by Suzuki Australia and its Authorised Dealers and may use it on behalf of Suzuki Australia and its Authorised Dealers. We require our service providers to adhere to strict privacy guidelines and not to keep this information or use it for any unauthorised purposes.

6.             Disclosure of information outside the jurisdiction of collection

6.1           We may disclose personal information outside of the jurisdiction from which it was collected.  In the conduct of our business, we transfer to, hold or access information personal information from various countries outside Australia or the country in which your information was collected.  The Privacy Laws of those countries may not provide the same level of protection as the Privacy Laws in Australia or the country in which your information was collected.  However, this does not change our commitments to safeguard your privacy and we will comply with all applicable laws relating to the cross-border data disclosure.

7.             Marketing communications

7.1           Like most businesses, marketing is important to Suzuki Australia and its Authorised Dealers' continued success. We believe we have a unique range of products that we provide to customers. We therefore like to stay in touch with clients and let them know about new products, as well as using contact lists to promote these new products.

7.2           In the event that demographic information is collected from our clients or potential clients, it is de-personalised and used for internal information purposes only.

7.3           When you provide your personal information to Suzuki Australia and its Authorised Dealers, we will ask you to choose as to whether or not you wish to receive further information about promotions and other products. We also send promotional information to other people who are not Suzuki Australia or its Authorised Dealers clients as they may request to introduce them to our products. Suzuki Australia and its Authorised Dealers may contact you from time to time on an ongoing basis to provide you with information in relation to Suzuki Australia and its Authorised Dealers' promotions, products and services, by email or telephone unless you indicate otherwise. If a person indicates to us that they do not wish to receive this information, we will not send further communications to them.

7.4           Individuals are always welcome to accept or decline communications from Suzuki Australia and its Authorised Dealers. At any time a person may opt-out of receiving communications. If you are receiving promotional information about Suzuki Australia or its Authorised Dealers you do not wish to receive, you may remove your name from our list by contacting the Suzuki Australia Privacy Officer, on e-mail at privacy_officer@suzuki.com.au, asking to be removed from our mailing list. Suzuki Australia will inform its Authorised Dealers of the request for removal from its mailing list.

8.             You can access the information we keep about you

8.1           The Privacy Act sets out the rights that you have as an individual to see any personal information that Suzuki Australia and its Authorised Dealers may have concerning you. If you would like to:

(a)            see your personal information; or

(b)            change any inaccurate or out of date personal information,

please contact us by contacting the Privacy Officer in the manner described in clause 7.4 above. Suzuki Australia will inform its Authorised Dealers of the request.

8.2           Our files of your information will be made available to you usually within 14 days. In some cases Suzuki Australia and its Authorised Dealers may need to impose a charge for providing access to personal information to reflect the cost of collating this information and providing it to you.

9.             Deleting the information Suzuki Australia and its Authorised Dealers have about you

9.1           If you wish to have your personal information deleted, please contact the Privacy Officer in the manner described in clause 7.4 above. Suzuki Australia will inform its Authorised Dealers of the request. Suzuki Australia and its Authorised Dealers will take all reasonable steps to delete it unless we need to keep it for legal reasons. Occasionally, information that a person requests to be removed will be retained in certain files in order to resolve disputes or for auditing purposes. In addition, information is never completely removed from our databases due to technical and legal constraints, including stored "back up" systems. Therefore, individuals should not expect that all of their personally identifiable information will be completely removed from our databases in response to their requests.

10.          Storage and security of your personal information

10.1        Suzuki Australia and its Authorised Dealers understand the importance of information security. Suzuki Australia and its Authorised Dealers will endeavour to take all reasonable steps to keep customer information secure. Customer information is stored on secure servers that are protected in controlled facilities. In addition, our employees and data processors are obliged to respect the confidentiality of any personal information held by Suzuki Australia and its Authorised Dealers.

10.2        Unfortunately, no information security system over the internet can be guaranteed to be 100% secure, so we cannot give an absolute assurance that the information you provide to us will be secure at all times. We do however regularly review our security practices to minimise the possibility of any unauthorised access to personal information or other confidential information.

10.3        Please note that Suzuki Australia and its Authorised Dealers may use other facilities, either owned by Suzuki Australia or a third party service provider, to process or back up its information, which may be located outside Australia and may not have the same level of protection. However this does not change our commitment to the security of your information.

11.          The Suzuki Websites

11.1        Suzuki Australia takes steps to ensure that your personal information is treated securely and in accordance with this Privacy Policy. Unfortunately, no data transmission over the internet can be guaranteed secure. As a result, while we strive to protect your personal information, we cannot guarantee the security of any information you transmit to us or from our website, and you use our website at your own risk.

11.2        Through the Suzuki Websites and Suzuki extranet sites, Suzuki Australia may gather and process the following information:

(a)            personal information provided by the user in accessing the website or extranet or services provided on the website or extranet; and

(b)            the manner of use of the website and extranet including information obtained through the use of "cookies."

12.          What do we use cookies for?

12.1        Cookies are pieces of information or small text files that a website transfers to your computer's hard disk or mobile device (such as a smartphone or tablet) for record keeping purposes when you visit the Suzuki Websites. A cookie will usually contain the name of the website from which the cookie has come from, the "lifetime" of the cookie (i.e. how long the cookie will remain on your device), and a value, which is usually a randomly generated unique number.  

12.2        Suzuki Australia uses cookies to make your use of the Suzuki Websites and extranet as convenient as possible. Cookies do not personally identify users, although they do identify a user's browser. If you do not wish to receive cookies you may set your browser to refuse cookies. This may mean you will not be able to take full advantage of the services offered by the website or extranet. 

12.3        We use cookies to make our websites easier to use and to better tailor the websites and our products to your interests and needs.  Cookies can do this because websites can read and write these files, enabling them to recognise you and remember important information that will make your use of a website more convenient (for example by remembering preference settings).

12.4        Cookies may also be used to help speed up your future activities and experience on our websites. We also use cookies to compile anonymous, aggregated statistics that allow us to understand how users use our websites and to help us improve the structure and content of our websites. We cannot identify you personally from this information.

12.5        Some of the pages you visit on the Suzuki Websites may also collect information through the use of pixel tags (also called clear gifs) that may be shared with third parties which directly support our promotional activities and website development. For example, website usage information about visitors to our websites may be shared with our third party advertising agency to better target Internet banner advertisements on our websites. The information collected through the use of these pixel tags is not, however, personally identifiable, although it could be linked to your personal information. 

13.          Cookie management

13.1        Although most internet browsers are initially set up to automatically accept cookies, most internet browsers allow you to change the settings to block cookies or to alert you when cookies are being sent to your device. 

13.2        In addition to the options provided above, you may refuse, accept or remove cookies from the Suzuki Websites at any time by activating or accessing the setting on your browser.  Information about the procedure to follow in order to enable, disable or remove cookies can be found on your Internet browser provider’s website via your help screen.  

13.3        You may wish to refer to http://www.allaboutcookies.org/manage-cookies/index.html for information on commonly used browsers.  Please be aware that if cookies are disabled or removed, not all features of the website may operate as intended, for example you may not be able to visit certain areas of our website or you may not receive personalised information when you visit the website. 

13.4        If you use different devices to view and access the websites (e.g. your computer, smartphone, tablet etc.) you will need to ensure that each browser on each device is adjusted to suit your cookie preferences.

14.          Data analytics

14.1        Google Analytics is a web analysis service provided by Google LLC ("Google"). We use Google Analytics to collect information about your use of the Suzuki Websites. 

14.2        We use the information collected by Google Analytics to help us understand and improve the usability of the Suzuki Websites as well as improve the effectiveness of our marketing and advertising activities. Google Analytics does not identify individual users or associate your IP address with any other data held by Google.

14.3        The information collected by Google Analytics will be transmitted to Google servers in the United States. 

14.4        Google will handle your information in the manner described in Google's Privacy Policy and the Google Analytics Terms of Service.  You can opt-out of Google Analytics by using the Google opt- out add-on service

15.          Suzuki Australia and links to other websites

15.1        Suzuki Australia may provide links to websites outside of the Suzuki Australia business. These linked sites are not under the control of Suzuki Australia and we are not responsible for the conduct of companies linked to our website. Before disclosing your personal information on any other website we suggest that you examine the terms and conditions of those websites.

16.2        If Suzuki Australia or its Authorised Dealers becomes aware of any ongoing concerns or problems relating to privacy and our business, we will take these issues seriously and work to address these concerns. 

17.          Future changes

17.1        From time to time, the Privacy Policy may be reviewed and revised. Suzuki Australia reserves the right to change the Privacy Policy at any time. Any such changes will be communicated internally via the Dealer Bulletin, and externally through the updated Privacy Policy being posted to the Suzuki Websites at that time which is assessable by following the Privacy Policy link.

17.2        The amended Privacy Policy will apply between us whether or not we have given you specific notice of any change. You should check the Privacy Policy regularly for changes.
